Complete a Job Closeout Checklist

What good looks like

Every required item has a truthful response, required evidence, and an explained exception before closeout.

Have these details ready

  • The checklist assigned to the correct job and work type
  • Access to the inspected equipment and required test instruments
  • Permission to record photos, readings, and signatures

Run the workflow

  1. Open the correct checklist

    Confirm its name, revision, job, equipment, and required sections before starting.

  2. Complete items during the work

    Record pass/fail, selection, reading, text, or evidence at the point of inspection. Do not prefill expected answers.

  3. Attach proof where required

    Add clear photos, readings, notes, or signatures that show the item and result. Avoid unrelated gallery photos.

  4. Handle failed or not-applicable items

    Explain the condition, immediate action, customer notice, and follow-up. Use Not Applicable only when the requirement truly does not apply.

  5. Review and submit

    Scan for unanswered required items and poor evidence, then submit or complete the checklist and confirm its status.

Check your work

Do not call the workflow complete until these statements are true.

  • All required questions are answered
  • Failures and exceptions include notes and ownership
  • The completed checklist is visible in job closeout and history

If something does not look right

The wrong checklist was assigned

Stop, notify the coordinator, and attach the correct template instead of forcing unrelated answers.

A required test cannot be completed

Record the blocker, make the condition safe, and assign follow-up; do not enter a made-up result.
