What good looks like
A qualified lead connected to a customer and ready to become a quote, booking, service request, or job.
Have these details ready
- A completed discovery call or site assessment
- Enough contact information to identify the customer
- A clear decision to pursue, nurture, or close the opportunity
Run the workflow
-
Review the history
Read the original request, activity, messages, source, and prior attempts. Correct outdated contact details before conversion.
-
Confirm qualification
Verify service fit, geography, schedule, budget, decision-maker, and access constraints. Record what is still uncertain.
-
Resolve customer matching
Search by phone, email, business name, and address. Select an existing customer when found; create one only when no reliable match exists.
-
Choose the right handoff
Use the available conversion action for the real next step: customer, quote, booking, service request, or job. Do not create a job before scope is clear.
-
Verify the result
Open the destination record and confirm notes, source, contact details, and ownership carried forward. Set the lead's final status.
Check your work
Do not call the workflow complete until these statements are true.
- The lead has a final status
- The destination record opens from the lead or history
- The next department can see the original request and customer promise
If something does not look right
A duplicate customer is shown
Cancel, select the existing customer, and repeat the handoff. Escalate cleanup if both records contain valid history.
The lead is not ready
Keep it active and create a dated follow-up instead of forcing a premature conversion.
