Track Licenses and Certifications

Keep required credentials current and visible before expired or missing evidence affects safety, compliance, or dispatch.

Start here Main menu → Settings → Employees → open employee → Certifications, or HR → Compliance

What good looks like

Each required credential has an owner, issuer, number, dates, evidence, status, and renewal lead time.

Have these details ready

  • Credential name and governing body
  • Issue/expiration dates and identifier
  • Document or evidence plus applicable role/location

Run the workflow

  1. Define requirements

    Confirm which licenses, trade credentials, safety courses, endorsements, or insurance evidence apply to each role and jurisdiction.

  2. Add the credential

    Open the employee's Certifications area and enter type, issuer, number, issue date, expiration, status, and notes.

  3. Attach evidence

    Upload the legible card, certificate, license, or verification document and set visibility appropriately.

  4. Set renewal lead time

    Configure or assign follow-up early enough for classes, tests, processing, and schedule changes.

  5. Review exceptions

    Use Compliance views to work expiring, expired, missing, or rejected evidence. Remove unqualified employees from affected assignments.

  6. Close renewal

    Update the renewed record and evidence while preserving prior history, then verify readiness and alerts.

Check your work

Do not call the workflow complete until these statements are true.

  • Required roles have current evidence
  • Expirations have owners before due dates
  • Dispatch does not rely on an expired credential

If something does not look right

A credential is pending renewal

Record the pending state and evidence, then follow company rules on whether the employee may perform covered work.

The name does not match

Verify identity and issuer record before approval; do not alter the evidence file.
