What good looks like
A completed transfer with matching requested, picked, shipped, and received quantities plus documented discrepancies.
Have these details ready
- Source and destination warehouses or truck locations
- Requested items and quantities
- People responsible for pick/ship and receipt
Run the workflow
-
Create the transfer
Choose the correct source and destination, add items and requested quantities, and include the job or restock reason when applicable.
-
Review availability
Confirm available quantity after reservations. Substitute or backorder through an authorized decision rather than shorting the transfer silently.
-
Pick the transfer
Count each item, enter picked quantity, and select Pick Transfer. Keep the staged package identified with the transfer.
-
Ship or hand off
Enter shipped quantities and select Ship Transfer when custody leaves the source. The source should not treat unshipped picked stock as received by the truck.
-
Receive at destination
The receiving person counts the actual items, records received quantities, explains shortages or damage, and selects Receive Transfer.
-
Resolve discrepancies
Review any gap in Inventory Operations and correct the responsible record, claim, return, or follow-up without hiding the variance.
Check your work
Do not call the workflow complete until these statements are true.
- Transfer status is received/completed
- Source and destination balances changed once
- Every quantity gap has a reason and owner
If something does not look right
Only part of the shipment arrived
Receive the actual quantity and record the supported discrepancy reason and note; keep the remainder visible.
Items were handed over without shipping
Complete the missing custody step using actual quantities and document the timing; do not receive against an unverified request.
