How to Create a Lead

In Service Opus, a Lead represents a prospective customer opportunity. Getting lead capture right ensures your team follows up quickly, tracks marketing source efficiency, and seamlessly converts inquiries into quotes, bookings, or job cards.

Step-by-Step Walkthrough

Navigate to the Leads Screen

Log into your Service Opus account. From the sidebar menu, click on Leads (or navigate directly to /leads). You will be greeted by the Leads Kanban board or list view showing all active, pending, and converted opportunities.

Access the Creation Form

In the upper-right corner of the Leads dashboard, click the New Lead button. The app routes you to /leads/create, presenting the unified lead creation workspace.

Enter Customer Details

Input the prospect's primary contact details. If the prospect represents a commercial business, be sure to complete the company name field.

Email Optional Prospect's email address. Format validated (e.g., [email protected]).
Phone Optional Prospect's phone number. Standardized format (10-digit number).

Capture Details & Source

Enter the specifics of the opportunity. This helps the sales representative understand the customer's problem before making contact.

Lead Source Optional Select where the lead came from (e.g., Google, Direct Mail, Referral).
Estimated Value Optional Approximate budget or value of the work order.

Assign Ownership

Assign the lead to an employee. Select the sales representative or technician responsible for the follow-up, and select a Follow-up Date. The lead will appear directly in their dashboard follow-up queue.

Save the Lead

Review the form details. Click the Save Lead button. Once successfully created, the app redirects you to the newly created Lead's detail view (at /leads/view/{id}) where you can add attachments, modify status, or convert the lead.

Validation Rules

To keep CRM reporting accurate, Service Opus enforces the following data validation rules during lead creation:

  • Required Contact Name: First Name and Last Name cannot be left blank.
  • Email Format: If an email is provided, it must be syntactically valid (e.g., containing @ and a valid domain).
  • Phone Number Length: If a phone number is entered, it must be a valid 10-digit number. The system will automatically apply formatting as you type.
Customer Referral Rule
If the selected Lead Source is a "Customer Referral" (or contains "customer" in the name), you must select an existing customer record as the referring contact. A search box will automatically appear to let you search and link the referring account.
